Scope of Our Service
Our system displays all information about the services offered but not their availability. When a reservation is made, you will immediately receive an automatic notification with a copy of the registered data. Within no more than 48 hours, one of our advisors will contact you via email to confirm the status of your reservation, depending on the availability of the requested service. Passengers are responsible for providing their email and contact phone numbers correctly. If passengers do not receive the confirmation email within the established timeframe, they should contact Huayna Peru. Huayna Peru acts as an intermediary between the tourism service providers and the passengers. To facilitate the reservation process of tourist services, we have commercial agreements with various tour operators who are responsible for providing the services reserved through Huayna Peru on behalf of the client.
Prices of Programmes and Services
- All rates are expressed in US dollars and Peruvian soles. The 18% VAT applicable to Peruvians and foreign residents in Peru is not included (exempt for foreigners).
- The published rates are not valid for public holidays, festive days, or long weekends unless explicitly stated.
- Rates for groups larger than 10 people are subject to discounts. It is recommended to consult our reservations department at reservas@huaynaperu.com
- All transport rates are subject to change and availability of space to be confirmed on the day the reservation is made. This available rate will be sent via email by one of our advisors.
Bookings, Payments, and Deposits
- To confirm the reservation, we must have received your payment for the contracted services or the security deposit. The reservation will be confirmed when one of our advisors informs you via email of the confirmed status and the corresponding confirmation code.
- Payments or security deposits must be made through our online system or, failing that, to the company’s bank accounts.
Bookings of Tour Packages / Tours
- The confirmation of the requested reservation will be informed to you via email indicating the reservation code for each contracted tourist service.
- Service confirmation will proceed after we have received your online reservation request and a security deposit or full payment within the established periods.
- The passenger will be contacted by the Tour Operator at the destination, who must identify themselves with their passport or identity document and pay the balance in cash (if any) to commence the provision of the tourist services. Huayna Peru will provide the client with the contact details of the operator and guide in charge before the start of any contracted tourist activity.
- The passenger is responsible for providing their arrival and departure details in due time.
- If the passenger requires pick-up from a specific location different from that published in the itinerary, it must be coordinated in advance with Huayna Peru to review the existence of additional charges.
- If you purchase a tour package with transport, the passenger must arrive with the required advance time at the specified check-in time at the bus company’s boarding station or at the airport to collect their boarding pass or ticket and check in. The company is not responsible if the passenger loses the ticket due to reasons beyond the company’s control, such as delays, long queues, failure to check in, or others.
- All ticket reservations are personal and non-transferable, non-endorsable, and non-refundable. They are also subject to the transport company’s cancellation policies.
- All tours are subject to weather conditions. In case of weather interference preventing the provision of the contracted tourist service, the conditions of each service will apply (no refunds in any case).
- After the client has received their confirmation by email or any other means of communication, they have no more than 48 hours after receiving it to make any observations. It is understood that if the client has not made observations within that period or has already started enjoying the contracted services, the company assumes the client’s acceptance.
- The client is responsible for paying the advance or the balances of the contracted service within the deadlines established by Huayna Peru. Failure to comply will result in the company reserving the right to cancel the reservation without refunds.
Cancellation, Rescheduling, and Refund Policies
- For any cancellation by the client, 45 days or less before the start date of the contracted service will incur a 100% penalty.
- Failure to appear on the day and at the specified time for the contracted service will incur a 100% penalty.
- For any cancellation by the client, between 70 and 45 days before the start date of the contracted service will incur a 50% penalty of the programme’s value, plus US $25 in administrative fees per passenger.
- For any cancellation by the client, between 90 and 70 days before the start date of the contracted service, a penalty of US $25 in administrative fees per passenger will apply.
- For any rescheduling by the client, 45 days or less before the start date of the contracted service, the request will be accepted provided that the client has no outstanding balances to pay, the involved third-party provider allows it, and there is no fare difference for the new rescheduled date.
- Refunds will only be effective when the client requests it more than 90 days before the start date of the contracted service or when the company is unable to provide the contracted service. In this latter case, the company will not pay more than 100% of the amount paid by the client. Refunds will be provided within no less than 30 business days and no more than 120 business days, deducting transaction costs if applicable.
- In any case (cancellation, rescheduling, and refunds), if a contracted service is operated by a third party and their penalties are higher than those indicated in this document, the third-party operator’s penalties will apply.
- If the passenger decides not to continue receiving a contracted service, the difference will not be refundable.
Documentation
- Passengers must carry a valid passport or travel document according to their nationality, as required by Peruvian legal standards.
- Passengers hiring our services as non-residents in Peru must send a copy of their immigration stamp with the date of entry into the country, which must not exceed the number of days according to current regulations for VAT exemption. Otherwise, VAT must be paid on the total value of the contracted service.
- Family groups containing children must carry their passport or ID. If traveling alone with one parent or a guardian, a notarised permission with parental authorization must be presented. If payment has been made without presenting this documentation, the service will not be provided, and a 100% penalty will be applied.
Responsibility and Obligation
- The obligation for services not provided due to negligence by Huayna Peru or our staff is limited to the actual cost of the omitted services and excludes all resulting indirect consequences or costs.
- In such eventualities, Huayna Peru will make its best effort to provide alternative arrangements of equal or lesser value, subject to availability.
- Huayna Peru acts as an intermediary between tourism service providers and passengers for the reservation process and payment of services. If the service company ceases operations due to internal labour reasons, force majeure, or other causes, or if the service provider company is declared economically insolvent with the formalities required by the corresponding Peruvian legislation, the refund for the unprovided service will be made within the mentioned procedures and within the deadlines established by Peruvian authorities for each specific case.
- Clients agree that Huayna Peru has no responsibility for the non-provision of offered services in the event of adverse weather conditions or natural disasters that cannot be foreseen. Likewise, they acknowledge that there will be no responsibility in case of political movements, accidents, declaration of a state of emergency, border closures, strikes, or any other public act beyond Huayna Peru’s control that could not be foreseen. In these cases, the value of the contracted service will not be refundable.
- The passenger agrees that Huayna Peru acts as an intermediary for tourism service companies and has neither obligation nor responsibility for the loss, damage, or injury sustained in relation to the services and accommodations provided by railways, land transport companies, local tourism companies, tour operators, steamship companies, airlines, adventure sports, hotels, and accommodation providers. All these services operate under the country’s laws, adhering to the regulations provided by the relevant authorities.
- Huayna Peru will provide the passenger with all e-tickets and/or reservation confirmations via the passenger’s email provided in the reservation form.
- The services provided through this system are intangible; therefore, if passengers for any reason do not take the services on the scheduled date and time, they will assume full responsibility for the associated costs.
Payment Methods
- The company accepts credit cards, debit cards, MasterCard, American Express, and Diners Club.
- The company accepts deposits for cash payments into bank accounts in Peru and Western Union or Money Gram agents abroad.
- For cash payments from abroad through banks or remittance agents, the client assumes the transaction cost.
- When the client pays by card and with a currency different from the provided quotation, they will bear the differences based on their bank’s exchange rate.
- For cash payments, transfers, and/or bank deposits in a currency different from the provided quotation, the client accepts Huayna Peru’s exchange rate.
